Administrative Support & Communication:
Provide administrative support to the CPAC Manager and Technical Coordinator, including managing calendars, scheduling meetings, preparing correspondence, and maintaining files.
Serve as a primary point of contact for phone and email inquiries, providing information and directing inquiries appropriately with a focus on excellent customer service.
Assist in the coordination of CPAC schedules, ensuring efficient use of the facility and clear communication with renters and internal stakeholders.
Maintain and update the CPAC website, social media, and other communication platforms with event information and relevant updates.
Assist in the preparation of reports and presentations.
Manage office supplies and ensure the efficient operation of office equipment.
Program Support & Renter Coordination:
Assist in the coordination and scheduling of CPAC usage by school district groups, community organizations, and external renters, ensuring adherence to policies and procedures.
Support the CPAC Manager in the development and implementation of new programming initiatives.
Assist renters with logistical arrangements, including space setup, equipment requests (under the direction of the Technical Coordinator), and other related needs.
Maintain accurate records of rental agreements, insurance certificates, and other required documentation.
Assist in gathering feedback from renters to identify areas for improvement.
Box Office Management:
Manage all aspects of box office operations, including ticket sales (in-person, phone, and online), subscriptions, and group sales.
Set up events in the ticketing system, manage seating charts, and generate sales reports.
Process payments, reconcile daily sales, and prepare bank deposits accurately and efficiently.
Provide excellent customer service to ticket buyers, addressing inquiries and resolving issues promptly.
Coordinate final show settlements with renters and the school district's finance department, preparing necessary check requests.
Maintain accurate financial records for box office transactions.
Facility Support:
Assist in monitoring the custodial care of the CPAC, communicating any needs or concerns to the Director of Buildings & Grounds.
Assist with the setup and breakdown of events as needed, including front-of-house areas (lobby, ticket office).
Serve as a house manager for select events, ensuring a positive experience for patrons.
Other Duties:
Serve as a role model for students by conducting oneself as a responsible and ethical professional.
Maintain confidentiality of sensitive information.
Perform other duties as assigned by the CPAC Manager.
Must be capable on a continuous basis of standing, walking, stair climbing, reaching, handling and griping without difficulty
Must be capable on frequent basis of bending, stooping, pushing/pulling heavy objects, lifting/carrying objects up to 50 pounds
Must be capable on an occasional basis of climbing ladders, driving light equipment, and working at heights up to 30 feet
Specific qualifications include:
High school diploma or equivalent (GED) required; Associate's degree or relevant post-secondary training in arts administration, event management, communications, or a related field highly desired.
Minimum of one to three years of administrative experience in a customer service-oriented environment.
Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills, with a professional and customer-focused demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management or event scheduling software.
Experience with purchasing, record keeping, box office operations, ticketing systems, and financial record-keeping is a plus.
Ability to work independently and as part of a team.
Flexibility to frequently work evenings and weekends, as required.
